Rental Terms
Bring the Fun Anywhere — please review our policies before booking.
1. Booking Request & Reservation
Submit a booking request through our website with your event details and item selections. Our team will review availability and contact you to confirm. Once approved, a deposit (30% of the total) is required to secure your booking. The remaining balance is due no later than 3 days before your event date.
2. Payment Methods
We accept e-transfer and cash. All prices are listed in Canadian Dollars (CAD) and are subject to HST. If the balance is not received in full 3 days prior to your event, we reserve the right to cancel your reservation.
3. Damage Deposit
A refundable damage deposit starting at $75 is required the week of the rental. The amount may increase depending on the equipment rented. This will be refunded in full after items are returned in good condition.
4. Rental Responsibility
The renter is responsible for all rented equipment from the time of delivery/pickup until it is returned to RoyalPlay Party Rentals. You are responsible for any loss, theft, damage, or misuse of the equipment. Repair or replacement costs will be charged to the renter.
5. Prohibited Items
The use of silly string, glitter, face paint, slime, and food items is strictly prohibited on all equipment at all times. These substances can cause permanent damage. If upon inspection it is determined that these items were used during your rental period, damage fees will apply.
6. Delivery & Setup
Free delivery is included up to 15KM. Delivery includes ground-level access only. Additional fees may apply for stairs, elevators, long walk distances, or difficult access locations. You must be present (18+) at the time of delivery to accept the equipment. Setup, cleaning, and pickup are included in the rental fee.
7. Setup Area & Power
Customers must ensure sufficient space and a safe, flat, and dry setup area before delivery. Access to a standard electrical outlet is required for all powered equipment.
8. Cancellation Policy
21 days or more before the scheduled event, the deposit will be fully refunded. 15–20 days before the scheduled event, 50% of the deposit will be refunded. Within 14 days of the scheduled event, the deposit is non-refundable. Same-day cancellations and no-shows may be subject to the full booking amount.
9. Rescheduling Policy
One complimentary reschedule is permitted with at least 14 days' notice, subject to availability. Additional rescheduling requests may incur a fee. Deposits are non-refundable but may be transferred to an approved rescheduled date. Rescheduled bookings must be used within 12 months of the original event date.
10. Severe Weather Policy
If severe weather makes an outdoor event unsafe or impractical, RoyalPlay may offer one complimentary reschedule based on availability. Severe weather includes heavy rain, high winds, thunderstorms, extreme heat warnings, and other hazardous conditions. Equipment must not be used or kept inflated during severe weather. No refunds will be issued due to weather conditions.
11. Pickup Timing
Equipment must be available for pickup at the agreed time. Late pickups may incur additional fees.
12. Equipment Use & Safety
All equipment is for outdoor or indoor use as intended. Do not leave equipment outside overnight or in wet conditions. The renter agrees to use the equipment in a safe and responsible manner, follow all provided instructions, and supervise use at all times. RoyalPlay is not responsible for injuries or accidents.
13. Indemnification
You agree to indemnify and hold RoyalPlay Party Rentals, its officers, employees, and agents harmless from any claims, losses, damages, liabilities, and expenses (including legal fees) arising out of or related to your use of our equipment or services, including any breach of these Terms or violation of the rights of a third party.
14. Privacy
We respect your privacy and will not share your personal information with third parties except as necessary to fulfill your rental order or as required by law.
15. Governing Law
These terms and conditions are governed by the provincial laws of Ontario, Canada, and the federal laws of Canada. Any disputes shall be resolved exclusively by the courts of Ontario.
16. Changes & Severability
RoyalPlay reserves the right to update these Terms at any time without prior notice. If any provision is found invalid or unenforceable, the remaining provisions remain in full effect. These Terms constitute the entire agreement between you and RoyalPlay Party Rentals.
